1. Terms & Conditions

By accessing this website, submitting an application, or participating in any programme offered by Akademia Lospuma, the Applicant (and where applicable, the Parent or Legal Guardian) agrees to be bound by these Terms & Policies.

Akademia Lospuma reserves the right to amend these Terms. Material changes affecting fees, refund terms, or participant obligations will not apply retroactively to applicants who have already paid a deposit or fee under a prior version of these Terms.

2. Application & Fees Policy

This section applies to applicants to the U18 Boarding School programme only. Open Trial participants are subject to a separate cost structure, detailed on the Open Trials page.

All Boarding School applicants must submit a completed application form via the Academy's official website, along with the required supporting documents (see Required Documents).

An Application Processing Fee of €50 is payable upon submission. This fee covers:

• Review of the applicant's football CV, playing history, and (where provided) highlight video by our coaching staff
• Verification of submitted academic and identity documents
• Administrative processing and family advisory time during the application stage

The Application Fee is non-refundable, as it covers staff time and review work carried out at the time of submission, regardless of the outcome of the application.

3. Deposit & Refund Policy

Upon acceptance, Applicants may be required to pay a Programme Reservation Deposit of €2,000 to secure their place. The deposit covers initial administrative processing, welfare and guardianship setup, accommodation sourcing, school application and communication with Polish schools, language school placement, and preparation and verification of documents required for the student visa application.

The remaining balance of the total Programme Fee is payable in 10 monthly instalments, covering accommodation, meals, welfare and guardianship, sports training, and equipment for the duration of the programme.

• If withdrawal occurs before the visa is issued, the deposit is refundable less €500, reflecting administrative costs already incurred.
• Once a visa is issued, the deposit becomes non-refundable, except in the following circumstances, in which case the €500 administrative cost still applies: (a) documented medical emergency preventing the applicant from travelling; (b) death or serious illness of an immediate family member; (c) the visa is subsequently revoked or entry is refused through no fault of the applicant; (d) the Academy is unable to deliver the school placement, accommodation, or guardianship arrangements described in this policy.
• The deposit is deducted from the total Programme Fee upon enrollment.
• Academy non-performance: If the Academy fails to deliver the school placement, accommodation, guardianship, or other services this deposit was collected to cover, through no fault of the Applicant, the family is entitled to a full refund of the deposit and any instalments paid to date, less costs already genuinely and demonstrably incurred on the family's behalf.

4. Programme Participation Rules

Participants must comply with Academy rules, training schedules, disciplinary standards, and codes of conduct at all times, as set out in the Code of Conduct provided at enrollment.

The Academy may suspend or terminate a participant's involvement for serious misconduct (including but not limited to violence, harassment, discrimination, or serious dishonesty in the application process), following written notice to the participant and their parent/guardian stating the reason. Where practicable, the family will be given an opportunity to respond before a final decision is made. Fees already paid for services not yet delivered as of the termination date will be refunded; fees for services already delivered are non-refundable.

5. Visa & Immigration Disclaimer

Akademia Lospuma may provide supporting documentation for visa applications. However, visa decisions are made solely by embassies and immigration authorities.

The Academy does not guarantee visa approval and bears no responsibility for refusals, delays, or immigration outcomes.

6. Accommodation Disclaimer

Where accommodation assistance is provided, it is arranged through third-party providers. Akademia Lospuma does not own or operate accommodation facilities unless explicitly stated. All host families and boarding facilities are vetted for safeguarding standards before placement, and welfare check-ins are conducted regularly throughout a participant's stay.

Accommodation fees may include administrative coordination and welfare support.

7. Privacy & Data Protection (GDPR)

Akademia Lospuma processes personal data in accordance with the EU General Data Protection Regulation (GDPR).

Personal data is collected solely for recruitment, programme administration, communication, and legal compliance purposes and is never sold to third parties.

9. Communication & Electronic Consent

By submitting an application, you consent to receive communication via email, phone, or electronic means regarding your application or programme.

10. Governing Law & Jurisdiction

These Terms & Policies are governed by the laws of the Republic of Poland.

Any disputes shall be subject to the jurisdiction of Polish courts.
